Summary

We are seeking a dedicated Part-Time Administrative Assistant to join our Facilities & Services team. This role is vital in supporting our daily operations and ensuring smooth administrative processes within our healthcare facility. As part of our mission to provide exceptional care, your organisational skills will help us maintain an efficient and welcoming environment for both staff and patients.


Key Responsibilities

Maintenance Department (Primary Focus):

  • Assist in obtaining quotes from suppliers and contractors.
  • Raise and manage purchase orders and track expenditure.
  • Maintain accurate records of maintenance requests, schedules, and completed work.
  • Support compliance documentation and ensure records are up to date (e.g., health & safety, equipment servicing).
  • Liaise with external contractors and internal staff to coordinate maintenance activities.
  • Assist in developing and maintaining a maintenance management system to log jobs, work orders, track costs, record asset registers, maintenance plans, etc.

General Estates & Services Support:

  • Provide administrative support to Grounds, Catering, and Housekeeping teams as required.
  • Assist with stock control and ordering of supplies.
  • Help coordinate rotas, schedules, and meetings across departments.
  • Maintain filing systems (digital and physical) and ensure documentation is accessible and secure.

Support to Head of Development, Estates & Services:

  • Manage diary appointments, meeting arrangements, and follow-ups.
  • Prepare reports, presentations, and correspondence as required.
  • Act as a point of contact for internal and external queries related to Estates & Services.

What We’re Looking For

Essential:

  • Proven experience in an administrative role, ideally within facilities, estates, or service departments.
  • Strong organisational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and manage multiple tasks.
  • Discretion and professionalism when handling sensitive information.

Desirable:

  • Experience in procurement or facilities management.
  • Familiarity with health & safety or compliance documentation.
  • Knowledge of working within a healthcare or rehabilitation setting.

Working Environment

This role is based within a busy rehabilitation clinic environment, requiring a proactive and flexible approach. You will be working closely with a range of operational teams and supporting a senior manager with a demanding schedule.

Job Type: Part-time, Permanent

Remuneration: £27,000 per annum prorate for 16 – 24 hours a week

Expected hours: 16 – 24 per week, which may be split over a 4 or 5-day week, Monday to Friday
